My role involves but is definitely not limited to: • Manage service requests for maintenance and repairs through online portal and liaise with building management for access cards and ad hoc requests • Liaise with contactors and external companies and source quotes for works to be completed • Order office supplies and equipment, including managing requests for ergonomic equipment • Enhanced savings for the business by using cost effective solutions and selectively purchasing office equipment • Proactively drive WHS initiatives and compliance, maintaining registers and current documentation, reports and policies • Proactively monitor and update first aid officers, fire wardens and first aid kits to ensure compliance • Provision and management of internal administration procedures and processes including ingoing and outgoing mail, Director’s Corporate Mobile Phone Plans, Corporate travel/accommodation and Corporate Service’s expenditure and savings • Coordinate and organise various People and Culture events and meetings (e.g. interviews, probation reviews and wellbeing events) • Facilitate and coordinate business-wide training requests, including scheduling, firm wide communications, room set up, attendance registers and work with front of house to finalise catering requests • Draft monthly firm updates including business unit updates, promotions, and milestones for Director’s to present to firm each month as well as the monthly newsletter • Host inductions for new employees • Draft basic People and Culture related communications, correspondence, registers and letters • Assist with recruitment by selecting candidates, conducting phone interviews, drafting contracts and welcome letters • Draft, check, print and distribute KPI statements and salary increase letters each financial year or as required • Manage both the onboarding and offboarding processes for new and exiting employees • Assist leaders and employees with queries in a timely manner to support internal client service • Support the business and business units enabling them to deliver on their strategy and objectives • Provide ad hoc support to the People and Culture advisors and manager as well as the Operations Manager • Support Team Assistant’s during busy tax periods with basic administration duties such as scanning, compiling and drafting documents • Reception, mail and housekeeping coverage as required
